The Luminis Health Events & Conference Center Supervisor is responsible for leading the day-to-day operations, scheduling, and strategic growth of the Martin L. Doordan Institute, a 24,000-square-foot conference center at Luminis Health Anne Arundel Medical Center. The Supervisor oversees conference center operations while coordinating cross-functional partnerships with Information Services (A/V), Food & Nutrition Services (Catering), Facilities, Security, Environmental Services, and other operational departments to deliver an exceptional hospitality experience for internal and external clients. This position serves as the operational leader for the conference center, ensuring seamless execution of meetings, conferences, educational programming, board meetings, and community events. The Supervisor is responsible for implementing the Doordan Institute business strategy, cultivating external conference opportunities, overseeing conference center revenue, and developing operational standards that support long-term growth. In addition to conference center operations, this role provides leadership for organization-wide events by developing standardized event practices, coordinating executive and organizational event calendars, and supporting major system initiatives across Luminis Health. Conference Center Operations & Hospitality Leadership Serve as the operational leader for all activities within the Martin L. Doordan Institute. Coordinate conference center operations across Information Services, Catering, Facilities, Environmental Services, Security, and other operational partners. Establish operational standards that deliver a premier hospitality experience for all conference center clients. Develop service standards and operational workflows that create seamless event execution from planning through post-event evaluation. Identify operational efficiencies and implement continuous process improvements. Conference Center Operations, Sales & Business Development Oversee the complete conference center client experience from inquiry through event execution. Balance internal organizational priorities with external conference opportunities to maximize facility utilization. Develop annual conference center operating plans and performance metrics. Monitor conference center utilization, occupancy, revenue, and customer satisfaction. Collaborate with Foundation leadership to implement the long-term strategic vision for the Doordan Institute. Audiovisual (A/V) & Technology Partnership Serve as the primary operational liaison with Information Services regarding conference center technology. Coordinate audiovisual support requirements for meetings, conferences, and special events. Partner with Information Services to establish service standards and response expectations for conference technology. Assist in identifying technology improvements that enhance client experience. Participate in planning for audiovisual capital improvements and technology upgrades. Support comprehensive A/V equipment assessments and implementation of future technology roadmaps. Coordinate third-party A/V vendors as needed to support conference center operations. Catering Operations Partnership Serve as the operational liaison between Conference Services and Food & Nutrition Services. Coordinate catering logistics for internal and external events. Develop standardized catering workflows that improve communication, service quality, and operational efficiency. Event Marketing & Communications: Coordinate event publicity with Luminis Health marketing team as appropriate Develop marketing strategies for increased occupancy/usage for the conference center Oversee partnership development and promotion Work with internal stakeholders to develop system-wide events calendar Required Qualifications: Bachelor’s degree in marketing, business, hospitality, related field or 7-10 years of experience in corporate event management Proven leadership, negotiation, and project management skills. Strong sales, customer service, and administrative abilities. Excellent communication skills and proficiency in Microsoft Office, Event Management software, EMS database preferred. Ability to work independently and manage multiple projects. Availability for evening and weekend events. Experience in sales or business development preferred Budgeting and accounting experience in a non-profit environment preferred. Must demonstrate grace under pressure while managing multiple priorities and delivering exceptional guest, internal leader and vendor experiences Handles challenges with diplomacy and maintains professionalism in all settings, including high-energy events, ensuring the organization is always represented with integrity and poise. Working Conditions, Equipment, Physical Demands: There is a reasonable expectation that employees in this position will not be exposed to blood-borne pathogens. There is an expectation that this employee will be exerting physical demands of the role including lifting objects regularly, supporting event set-up, and being on your feet for long hours at a time.

 

Events & Conference Center Officer

The Luminis Health Events & Conference Center Officer is responsible for overseeing all scheduling and events in the Martin L. Doordan Institute, a 24,000 square-foot conference center, at Luminis Health Anne Arundel Medical Center. The Officer will represent the Doordan Institute in the community to showcase Luminis Health and drive event revenue to the conference space. Using their knowledge of events and community relationships, the Officer will implement a business plan for the Doordan Institute to meet clearly defined goals.  This position will work with internal hospital staff, as well as external parties, to meet their needs regarding recurring meetings, one-off events, conferences, a variety of trainings, etc in the Doordan Institute. In addition to the Doordan Institute, the Officer will develop and implement a system-wide approach to events.  They will develop standard procedures for events, to include managing space and leadership scheduling, maintaining a system events calendar and planning for the health system’s largest events, regardless of location.  This full-time, exempt position reports to the Manager of Special Giving, LHAAMC Foundation.

 

Responsibilities:

Organizational Events:

  1. -       Develop policies and procedures related to events at Luminis Health
  2. -       Lead strategic planning, scheduling, execution, and evaluation of organization-wide events
  3. -       Support event committees, managing event logistics and sharing best practices around program, presenters, etc. 
  4. -       Supervise contractors and vendors, to ensure events meet LH mission, brand, and goals.
  5. -       Collaborate with internal and external stakeholders to plan seamless, high-impact events.
  6. -       Develop event schedules, agendas, and messaging.
  7. -       Evaluate and improve event strategies and attendee experiences.
  8. -       Capture and report event metrics and manage CRM data for event tracking.
  9. -       Manage and monitor event-related budgets, revenue and expenses, ensuring goals are met

 

Conference Center Sales:

  1. -          Develop and implement conference center policies and procedures in support of Doordan Institute Business Plan.
  2. -          Cultivate and expand revenue opportunities for the Doordan Institute conference center
  3. -          Represent the organization in the community to book events, conferences and meetings in the Doordan Institute. 
  4. -          Foster new relationships with external organizations and promote conference center offerings throughout the community
  5. -          Track revenue and payments
  6. -          Prepare and manage program-specific budgets and reports.
  7. -          Cultivate relationships with vendors to identify key partnerships in the community
  8. -          Serve as a liaison and represent Luminis Health at various events and conferences.
  9. -          Work with internal stakeholders to develop organizational scheduling practices to maximize revenue opportunities

 

Event Marketing & Communications:

  1. -          Coordinate event publicity with Luminis Health marketing team as appropriate
  2. -          Develop marketing strategies for increased occupancy/usage for the conference center
  3. -          Oversee partnership development and promotion

Contracts:

  1. -          Negotiate and oversee contracts for goods and services related to events and sponsorships.
  2. -          Ensure contractors meet all specifications and legal requirements, maintaining contract files.

 

Required Qualifications:

  • -          Bachelor’s degree in marketing, business, hospitality, related field or 7-10 years of experience in corporate event management

Pay Range
$100,000$130,000 USD
