Surgical Scheduler – Operating Room (High-Volume, Progressive Health System) We are seeking an experienced Surgical Scheduler to join a high-performing, well-organized perioperative services team within a fast-paced operating room environment. This role supports a progressive hospital system that schedules up to 20,000 surgical cases and procedures annually, requiring precision, efficiency, and exceptional coordination skills. The ideal candidate is confident working in a dynamic setting, understands OR workflow, and thrives in a collaborative, service-driven culture. What You’ll Do Independently schedule complex surgical cases and procedures across multiple service lines Coordinate with hospital-based surgeons, physician office staff, anesthesia, nursing, and community partners Ensure accurate case setup, including procedure details, timing, special equipment, and clinical requirements Balance high daily volumes while maintaining accuracy and compliance with perioperative policies Serve as a key point of contact, providing exceptional customer service to internal and external stakeholders Work closely with the Scheduling Manager and Perioperative Business Director to support operational efficiency and continuous improvement What We’re Looking For Proven experience in surgical or procedural scheduling, preferably in a high-volume hospital or academic medical center Epic-trained, with hands-on experience scheduling surgical cases within the Epic system Strong understanding of operating room workflows, block scheduling, and case prioritization Demonstrated ability to manage competing priorities in a fast-paced OR environment Excellent communication and customer service skills with a professional, solution-oriented approach High attention to detail with strong organizational and time-management skills Ability to work effectively within a small, collaborative, and highly organized team Why Join Our Team Be part of a tight-knit, experienced scheduling team where collaboration and mutual support are valued Work in an environment where leadership is accessible and engaged—the Scheduling Manager and Perioperative Business Director partner closely with the team Contribute meaningfully to patient care by ensuring seamless surgical access and coordination Join a system that values operational excellence, professionalism, and continuous improvement

Position Objective:

Overall responsibility for scheduling surgical/procedural patients’ surgical/procedural procedures achieving 98% accuracy rate. 

Essential Job Duties:

  1. Communicates professionally with physicians, physicians' office staff and co-workers providing excellent customer service skills and works collaboratively with a variety of individuals.
  2. Create and schedule patients for surgical /procedural procedures in the appropriate Scheduling module. As needed prints daily OR schedule for the following day as well as weekend schedule.
  3. Answers all incoming phone calls with proper greeting 100% of the time. Continuously checks department and individual voicemail throughout the day returning phone messages promptly. 
  4. Responds to department emails as assigned in department rotation.
  5. Rearranges cases upon request of physicians or physicians' staff and/charge nurse of HP OR, ESP OR, Endoscopy, Interventional Radiology and Cardiac Cath lab. 

Educational/Experience Requirements:

  • High School Diploma or equivalent
  • Two years of related work experience with knowledge of medical terminology and anatomy is required
