Senior Procurement Specialist
Position Objective:
Supports Manager of Sourcing and Contracting by providing oversight of the daily operations within the purchasing group. Assists Manager of Sourcing and Contracting with overseeing all buyer functions including: creation of purchase orders from requisitions, 3 way matching discrepancies of POs to Invoices, management of GHX order confirmation and order exceptions, credits, open PO's, accrual reports, item/vendor file maintenance, back order resolution, workload leveling among Procurement Specialists and other purchasing related functions.
Essential Job Duties:

1. Acts as a liaison between Supply Chain, internal customers by using remote access to administer system support questions regarding: order/requisition processing, receipt/distribution processing, department and cost center alignment of procurement expenses and special request order completion. Trains all new Luminis Health Care Enterprise PeopleSoft users on how to create requisitions, how to approve requisitions that are routed to them and how to submit requests for expense reimbursements. When JIRA tickets are created by an end user, the Sr. Procurement Specialist is responsible for opening the request for support, providing the support needed and then closing out the ticket
2. Assists in product selection, evaluation/supplier preference process. Researches product literature to continuously evaluate products/vendors to assist the organization in making the best supply chain decisions. Monitors special requests for item types that may already be in stock, ensures Group Purchasing Organization (GPO) Contract Compliance.
3. Conducts research to develop new sources of supply for participation in bidding process. Encourages small, woman owned and diverse supplier participation in product selection process. Communicates with procurement specialists regarding new contracts, vendors and new standard products.
4. Monitors various suppliers’ performance with regard to back orders, on-time delivery of supplies, price performance, invoice accuracy, credit holds and customer service. Generates reports and queries from internal systems or vendor systems as required.
5. Encourages collaboration within the procurement and sourcing team; responsible for ensuring procurement specialiss perform research and resolve invoice matching discrepancies of POs to Invoices and completes any changes needed on a PO to allow for an invoice to purchase order match; provides accounts payable with any needed actions to execute on accounts payable transactions to create the match.
6. Responsible for researching old/outstanding purchase orders to determine if they can be closed or if payment is still required before they are closed, and continuous collaboration between procurement and accounts payable/finance on the status of those POs.
7. Maintains Standard Work documents for all procurement functions, provides training to Supply Chain staff on purchasing functions within PeopleSoft and re-trains as needed.
8. Ensures item files are used when sourcing requisitions, responsible for all system wide credit card supply orders orders and special requests, as applicable. Works to reduce the number of PO errors and increase the volume of EDI orders being processed error free on a daily basis.
9. Participates in department and organizational LEAN/Process Improvement (PI) efforts; makes recommendations to Manager of Souring and Contracting and supply chain division leadership on improvements to methods and procedures as they relate to the procurement function. Provides daily status updates on predetermined Performance Improvement metrics.
Educational/Experience Requirements:
Required Minimum Education. The minimum level of education for this position includes:
Associates Degree or Bachelors Degree or equivalent years of experience.
Required Minimum Experience:
Six years of experience as a procurement specialist/buyer in a healthcare environment required.
Required License/Certifications:
• CRMP Certification preferred

Sedentary work. Exerting up to 10 pounds of force occasionally and/or negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time Jobs are sedentary if walking and standing are required only occasionally and all other sedentary criteria are met
