Reporting to the Manager of Special Giving at the Luminis Health Anne Arundel Medical Center Foundation (AAMCF), the Events Coordinator is responsible for supporting and executing all aspects of donor cultivation and stewardship, as well as supporting third-party community events. A successful candidate will be detail-oriented, creative, enthusiastic and passionate about supporting Luminis Health Anne Arundel Medical Center in order to enhance care for the community. The role seeks an individual with strong interpersonal and written communication skills, attention to detail, and the ability to collaborate effectively with other team members.
- Oversees all details of donor stewardship and cultivation events including donor society events (Holiday Toast, Baldwin tailgate, Belcher Society receptions), LHAAMC Foundation board events, donor dinners, and other events as needed
- Implements procedures and timelines related to different type of events to ensure consistency and efficient execution
- Assists in development and execution of event plan, budget, vendor selection, catering, specialty items and assures that all details are organized while working in conjunction with event contractors
- Develops and maintains event management processes, including planning, execution and follow-up. Coordinates volunteer participation as needed.
- Coordinates the logistics for all smaller donor cultivation events in support the efforts of the Giving Team.
- Works closely with other LHAAMCF staff, as needed, to execute cultivation and stewardship events.
- Ensures events run smoothly by overseeing all aspects of scheduling and execution, from setup to breakdown and overseeing relevant on-site event details, ensuring events follow timeline and meet budget.
- Collaborates with Foundation colleagues to develop strategies for engaging donors, sponsors, volunteers, and community partners
- Working oversees information and timelines related to event list creation, invitation design and review, mailings and emails, rsvp tracking, and event nametags.
- Manages Foundation events calendar and distribution to executive leadership
- Conduct post-event evaluations to analyze the success of each event, gather and record feedback, and make necessary improvements for future events
- BA/BS degree with 4 years’ experience in special event planning, preferably in a non-profit setting.
- Excellent organizational, verbal and written communication skills, computer literacy, and experience working with volunteers is essential.
- Demonstrated project management experience
- Demonstrated success in planning events within a specific a budget
- High attention to detail and organization.
- Ability to work as part of a high-performing team as well as independently
- Flexibility and proven ability to work successfully in a collaborative, team-oriented environment.
- Self-motivated strategic thinker with a proven record working independently and achieving results.
- Excellent written and verbal communication skills.
- Proficiency with Word, Excel and databases; experience with Salesforce preferred.
- Familiarity with philanthropic industry and sources of philanthropy.
- Passion for LHAAMCF’s mission of enhancing our community’s health.
- Familiarity with the market served by LHAAMCF.
